From start to finish, this article contains the info on how to send a quote from a Quick Quote Request email for both new clients and current clients.
TLDR:
Potential client Quick Quote:
- Create quote in Cyrious based on the QQ request form then download estimate
- Send email from Gmail with the estimate attached and using the Quick Quote Blurb snippet
- Record quote amount in contact deal and change stage to Quote Presented to Client
Current client Quick Quote:
- Go through Quick Quote Estimate process, assign to “Your name” as CSR in User Defined Fields, skip the HubSpot steps unless their deal is shown.
New Client Quick Quote:
- Open HubSpot, Cyrious, and Gmail
- Search the email listed the QQ form in Gmail to see if they sent multiple emails or if someone else is working with them(this is a good way to learn if they are a new client or current client).
- Open QQ email for “New submission on HubSpot Form "Quick Quote Request (New Customer)" and take note of the name.
- In HubSpot click on the Sales dropdown and select Deals--confirm that you are seeing the Quotes Pipeline.
- Under the Quotes Filled Out Pipeline, select the deal that matches the QQ email.
- Click on the contact name in the top right hand corner under Contacts and scroll down the center Activities page until you find the Form Submission info.
- In Cyrious -> New -> New Estimate
- Enter Company Name -> Click Yes on Confirm box to create new account
- Company tab -> Enter Industry + Origin (Quick Quote) using dropdown menus
- Adjust Pricing Level to 105% (Standard for local clients, if that is known)
- Contacts tab -> Enter Frist Name, Last Name, Email, Phone Number -> Save (top right)
- Enter Description -> “Quick Quote”
- Digital Prints -> Banners, Labels, or Stickers -> enter Quantity, Height/Width, Machine (Epson for Stickers/Labels, Roland for Banners, Window Clings, Floor Decals)
- Choose best Material and Laminate
- Leave Back/Adhesive box alone
- Cut Method: Digital Finishers, Cut Complexity: Simple
- If variations or descriptions of products are known, you can enter that in Description Box, otherwise leave empty
Tip
The client can see whatever is written in the Description Box, so the more info you include, the less questions they will have.
- If quantity is not listed, start with 100 and create a quantity grid listing 100, 250, 500, 750, 1000, 1500, and 2000.
- Adjust pricing for crowler/can labels using top right green “Pre-Tax Price” box – adjust bottom right box under “Actual Unit Price” column to match set pricing
- If any discounts may be applied: Miscellaneous -> Misc or Promotions depending on reason for discount. Calculate discount amount and enter that negative amount (ex. -56.75) into the “Sub Total” box. Also enter reason for discount in “Item Name” box
- Select “Shipping and Delivery” and double chick on “Shipping”. Delete “Estimated Ship Date as it is not accurate and type “Free Ground Shipping” in description. Click “ok”.
- User Defined Fields tab -> Responded on: Today, Quote Sent: Today, CSR – Quick Quote, Difficulty: 2 – Normal
- New (top right) drop down menu -> Quote Sent
- Save as Estimate
- Print -> Standard Estimate -> Email
- In subject line type, “______(Their first name), here’s that _____ (label, banner, sticker, etc) quote you requested!”
- Use Quick Quote Blurb snippet and enter any additional info they may need. Sign your name and send!
- In HubSpot: Click on contact name under Deals -- Edit(the pencil image by the company name in the top left corner - add quote amount - save - Stage - Quote Presented to Client.
Current client Quick Quote:
- Go through Quick Quote Estimate process, assign to “Your name” as CSR in User Defined Fields, skip the HubSpot steps unless their deal is shown.
