Everything you need to know about making payments, troubleshooting payment errors, issuing refunds and updating credit cards in Cyrious
Payment options:
- Payment portal line
- Manual entry over the phone
- Payment via statement (authorize.net)
- ACH payment (highly encouraged)
- Check (production begins once the check is received, unless on special terms)
- Cash
- Paypal (last resort)
Processing payments via Cyrious:
*Must be in office to run card over the phone
-Click the "payments" icon on the top of the screen in Cyrious.
-Enter the company name or invoice/order number to find orders with an outstanding balance
-Selected order/s the client wishes to pay for and confirm that the price sounds correct to the client.
-Enter billing address and card info and then select the button to process the payment
-Ask if client would like us to keep the card on file and then save to do so.
Void Payments: can be voided by management within 24 hours of making payment
Automatically run card: If a client requests us to run their card on file, we will need written permission to do so. Add to company notes. Please note that the card will need to be updated every 3 months per due to security efforts.
Payment issues:
-If a client calls saying they can't make the payment via the online payment portal try to run it manually in Cyrious. If it doesn't work try again in case something was mistyped. If it's still not working take note of the error message and mention the below most common issues to illuminate those as possibilities. Take the clients number to call back after talking to Jeff or Todd.
Troubleshooting payment issues:
-Confirm that the address is in fact the billing address
-Ask how many times they've ran the card and what errors they are getting.
-Confirm that they don't have a limit on their card
ACH Payment Info:
Chase Bank

ACH payments are only preferred for orders over $1,000
PayPal:

Check:
-Production begins once we receive check unless they are on payment terms.
-See management if a client would like to have special terms
Cash:
-Prefer exact change
-Can issue a credit to clients account if change is not exact. Make sure to write a note in the company account listing the credit amount, date, your initials, and to delete the note once the credit has been used.
Issuing refund:
*Can only be issued by management or front desk
-Search company and clink on Financial tab.
-Confirm the refund amount and click Give Refund.
-Enter dollar amount in the Amount to Refund box
-Select desired card to put the $ on or enter info for new card just as you would when processing payment.
-Mention that it will take a few business days to show up in their account.
Updated a card in Cyrious:
-Click on Contact tab in the company profile.
-Then click the Finical tab.
-Clink Edit and then Add Card or Update Card.
-Enter info for new card just as you would when processing payment.
-Be sure to clink Save
