Variable Data Setup - UPCs/QR Codes and Import Unique Data

How to set up variable data for QR Codes

1. Create the field for the QR code by clicking and dragging to create a square in the space the first QR code will go. Check that the width and height under the "Alignment/Position" tab are the same to ensure the field is a square and the horizontal and vertical alignments are both changed to "Center".  Name the field.

2. From the font options check the "Barcode 2D" option and from the drop down make sure the "QR Code" option is selected.

3. Next click the "Configuration" option next to the "QR Code"  drop down. The "Version (1-40)" will determine the size of the QR Code that is generated. Enter in a number that is the approximate size of the QR code. Keep the "Error Correction" option at "M - Medium". Click OK.

If a pop-up appears that says "The selected QR version size is greater than the field size" go back to the "Configuration" option and reduce the "Version (1-40)" number until the pop-up no longer appears after clicking OK.

4. If you want the QR code to expand and fit the exact dimensions of the field box, check the "Expand To Fit" checkbox under the Height. Click OK.

How to set up variable data for UPCs

1. Create the field for the UPC by clicking and dragging to create a rectangle in the space the first UPC will go. Change the horizontal and vertical alignments to "Center". Name the field.

2. From the font options check the "Barcode Reduction Font" option and from the drop down make sure the "Code 11" option is selected.

3. If you want the UPC to expand and fit the exact dimensions of the field box, check the "Expand To Fit" checkbox under the Height and Width. Click OK.

"Code 11" will work for most clients however UPCs tend to not be a one size fits all. Since there are many options you may have to play around with the different "Barcode Reduction Font" to best suit the needs of the client.

How to set up and import unique data for variable data

1. Create and prepare all the fields needed for the file that you are working with. The order and names of the fields will matter for importing data into them so it is recommended to set them up in a way that makes the most sense for you.

2. Open a new Excel file. In the very first row name the cells to match the exact names of the variable data fields in the same order that they appear in.

3. Using the data sheet supplied by the client, copy and paste the given data under the correct columns. This will typically require you to format the data beforehand to account for the correct number of columns.

4. Once the data is prepared in the new excel sheet, go to "Save As" and save the file as "CSV (Comma delimited) (.csv)". Save the file under the current order folder of the client.

5. To import the data, in the top left corner click "Database" and from the drop down click "Import Database". Find the .csv file you created in step 4 and open it.

6. A pop-up will appear to confirm the names of the fields. Click Yes.

7. Right click and preview one of the records to double check that the data is in the correct fields. RIP and print as normal.
